Events courier at a glance

What is an events courier?

An events courier is a dedicated delivery service for the stands, AV equipment, print and materials an event needs, delivered to a venue build schedule. Flextro collects the consignment and takes it directly to the venue, on one vehicle, timed to the delivery slot.

The work is usually one of two kinds. Planned build deliveries, where everything must arrive in the venue’s slot before doors open. And last-minute jobs, such as reprinted banners, a missing cable or a replacement screen that turns up late.

The difference from a parcel network is the slot. Venues give short delivery windows and strict loading-bay rules. Those are agreed before collection, and the same vehicle can return to collect everything after the event.

Courier options for events

Events courier services for organisers and exhibitors

Most event delivery falls into six patterns, from a full stand into a build slot to one reprinted banner an hour before doors. Each one runs on a vehicle dedicated to your job.

Not sure which fits? Describe what is going and the venue slot, and Flextro will match the service and confirm the price before you commit.

What events need

What does an events courier carry?

Anything an event needs that fits a van, from one roller banner to a full stand. These are the consignments organisers, agencies and exhibitors ask us to move most often.

Exhibition stands and displays

Pop-up stands, modular stands, graphics and display systems.

AV and lighting equipment

Screens, speakers, lighting and cases for conferences and exhibitions.

Print and signage

Banners, signage, brochures and delegate packs, including reprints.

Merchandise and giveaways

Branded merchandise, samples and giveaways for stands.

Event furniture

Furniture, counters and fixtures for stands and venues.

Production and catering kit

Production equipment, props and non-perishable supplies.

Gas, fuel or pyrotechnics? Gas cylinders, fuel, pyrotechnics and some cleaning products are dangerous goods. They are checked against what can legally be carried before a booking is accepted.

Before the vehicle leaves

What we confirm before an events job starts

A stand turned away from the loading bay, or print that arrives after the doors open, cannot be fixed later. These six details are agreed before collection.

You do not need all six to call. Give us what you know and we will ask for the rest.

When the doors open soon

How does an events courier work?

In four steps. You tell us the kit and the venue slot; Flextro assigns a vehicle and fixes the price; the driver collects from your office, printer or supplier; and it is delivered to the venue with proof of delivery. The booking line is open 24 hours a day.

Flextro works to a 60-minute collection target in most areas. Call 020 4576 3438 when the doors open soon.

Nationwide events coverage

Where does Flextro deliver for events?

Across the whole UK. Flextro delivers to exhibition centres, conference venues, hotels, stadiums and outdoor event sites in England, Scotland, Wales and Northern Ireland.

An event does not stop at a regional boundary. A stand from a store in London can go straight to an exhibition centre in Birmingham, or AV kit from Manchester to a conference in Glasgow, on the same vehicle from collection to venue.

Vehicle matching

Which vehicle does an event delivery need?

It depends on the kit. A banner or a box of print fits a small van, a pop-up stand and screens need an SWB or LWB, and a modular stand or full AV package needs a Luton. Give the case count and sizes and the vehicle is matched for you.

For organisers and agencies

One courier account for events businesses

If you deliver to venues every month, a Flextro business account replaces booking each job with agreed rates, known capacity for build days and one monthly invoice. A last-minute replacement still gets its own vehicle, on the same account.

Venues, stores, suppliers and on-site contacts are kept on file. When something is missing on build day, the booking team already knows the venue and slot, so briefing an urgent job takes a sentence.

Events courier pricing

How much does an events courier cost?

An events courier is priced on three things: how quickly the kit has to arrive, the vehicle and team it needs, and the route including time at the venue. There is no rate card, because one banner across town and a full stand across the country are different jobs.

Your price is fixed before the booking is accepted, including known waiting time at the loading bay.

Response time

How quickly the kit must arrive.

  • Last-minute replacements
  • Planned build-day deliveries
  • Evening, weekend or bank holiday events

Build deliveries booked ahead cost less than the same kit raised on the day.

Vehicle and team

The vehicle and people the kit needs.

  • Case count, size and weight
  • Stands and heavy AV
  • Two-person handling into the hall

The kit is used to size the vehicle and team, not to price the equipment.

Route and venue time

The journey and the time at the venue.

  • Collection-to-venue mileage
  • Loading bay queues and slot waiting
  • Return collection after breakdown

Delivery and breakdown collection can be quoted together as one job.

Events courier FAQs

Questions event teams ask before booking

Straight answers for event managers, exhibitors, agencies and anyone arranging a venue delivery.

What is an events courier?

An events courier is a dedicated delivery service for stands, AV equipment, print and materials an event needs, delivered to a venue build schedule. Flextro collects the consignment and takes it directly to the venue, on one vehicle, timed to the delivery slot.

Can you deliver into a venue’s booked slot?

Yes. Give the venue, hall, loading bay and delivery slot when you book, including any vehicle booking reference, and the job is planned to arrive in the slot.

Can you deliver last-minute items on the day?

Yes. Reprints, cables, screens and forgotten items can be collected and delivered the same day. Flextro works to a 60-minute collection target in most areas.

Can you collect everything after the event?

Yes. A breakdown collection can be booked with the delivery or separately, and everything taken back to your office, store or supplier.

Do you provide two people for stands and AV?

Yes. A two-person team can handle stands, screens and heavy AV into the hall where venue rules allow.

Can you deliver to several venues for a roadshow?

Yes. Kit and materials for several venues can go on one planned route, or on a scheduled run for each stop of a roadshow.

Can you carry gas or pyrotechnics?

Gas cylinders, fuel and pyrotechnics are dangerous goods. They are checked against what can legally be carried before a booking is accepted, and some may not be.

How much does an events courier cost?

Each job is priced on how quickly it has to arrive, the vehicle and team needed, and the route including time at the venue. You receive a fixed price before you confirm, and it does not change afterwards unless the job changes.

Do you cover the whole of the UK?

Yes. Flextro delivers to venues across England, Scotland, Wales and Northern Ireland, and a single job can cross the country on the same vehicle.
